General

What is MassVisit?

MassVisit is visitor management from Mass Coms: a touchscreen sign-in kiosk for staff, visitors and contractors, with printed badges, pre-registration and host emails. It works on its own, with no Mass Coms subscription. If you also use the Mass Coms emergency platform, the people signed in become the starting list for roll call. On masscoms.com it is also called the Sign In App.

Does it work without the internet?

No. Signing in needs a connection. If the network drops, the kiosk app shows an offline page and keeps retrying until the connection is back, so keep a paper fallback for outages.

Can a reception screen welcome visitors by name?

Yes, with MassCasts. A reception screen can show the visitor's name, company and host when they sign in.

Emergency roll call

How does visitor sign-in feed emergency roll call?

Mass Coms reads the kiosk's on-site list: staff who are signed in, plus visitors and contractors who have not signed out, with their company, host, phone number and car registration where given. That list is the starting point for roll call.

What does the kiosk show during an incident?

A full-screen alert in the incident colour with the title, message and response plan. It reads the announcement aloud, asks Are you safe? with I am safe and Need Help buttons, and for an evacuation shows the exit route for its room when one is set up.

Can someone at reception cancel the alert?

No. There is no all-clear button on the public kiosk. The alert clears when an authorised person resolves the incident in the admin page or in Mass Coms.

Does the on-site list prove who is still inside?

No. People forget to sign out or come in another way. Your team should check the list against what they see at the assembly point.

Contractors

Can contractors sign in separately from visitors?

Yes. Switch on contractor sign-in and the kiosk shows a Contractors button, and the registration page offers a Contractor option. It is off until you turn it on.

Can contractors have different site rules?

Yes. Write contractor health and safety and security rules separately from your visitor rules. Contractors must tick to accept them before signing in, and the time is recorded with the visit.

Can we put our contractor induction in the rules?

Yes. The contractor rules box takes your own wording, so a short induction summary can go there. MassVisit records that it was accepted and when. It does not test understanding or store documents.

Are contractors included in roll call?

Yes. Contractors who have not signed out are on the on-site list, labelled as contractors, with their company, phone number and car registration where given.

Does it check insurance or permits?

No. It records who signed in and that they accepted your rules. Keep your own permit to work and document checks.

Schools

Is MassVisit a school visitor management system?

Yes. It gives the school office one kiosk for staff, visitors and contractors, with badges, pre-registration and host emails, and shares everyone signed in with Mass Coms roll call for lockdown and evacuation.

Does electronic sign-in replace safeguarding checks?

No. Signing in records an arrival. It does not check identity, DBS status or whether someone should be on site. Keep your safeguarding procedures.

Does MassVisit connect to the Single Central Record?

No. It does not read or update your Single Central Record. Keep checking visitors against it as your procedures require.

Can it work with our MIS?

Yes, through Wonde, which connects to the MIS systems Wonde supports. Staff and pupil records are imported from your MIS instead of being typed in, and pupil attendance marks feed the emergency roll call.

How much does school visitor management cost?

On a 3-year sign-up the first site is free in year one, then £499 a year. A second campus needs its own licence at £499 a year from year one. No Mass Coms subscription is needed.

Workplaces

What does MassVisit do for an office?

Guests sign in, accept your rules and print a badge while their host gets an email. Staff tap in and out on the same kiosk, so the on-site list covers everyone for an evacuation.

Can the host be emailed when their guest arrives?

Yes. Switch on the arrival email. The email says the guest has signed in and is waiting, with their organisation, reason for visit and car registration where given.

What if a guest types the wrong host name?

If the host is blank or does not match exactly one person on your staff list, the email goes to your reception address instead, and says what name the guest typed.

Can our reception screen welcome guests by name?

Yes, with MassCasts. A reception screen can show the guest's name, company and host when they sign in.

Can admins use their Microsoft accounts?

Yes, where the Microsoft account is linked to your Mass Coms organisation.

Healthcare

Can healthcare and care settings use MassVisit?

Yes. It records visitor, contractor and staff sign-in at the front desk, with your visiting rules accepted at sign-in and the people on site shared with Mass Coms for incident roll call.

How quickly do changed visiting rules reach the kiosk?

Edit the rules in the admin page. The kiosk reloads its settings when it goes back to the welcome screen after someone uses it (at most once a minute) and when the app restarts. Visitors tick the new wording from then on.

Do regular visitors have to fill in the form every time?

Yes. MassVisit does not keep visitor profiles between visits. A visitor can pre-register for a specific date and sign in with a code, but each visit is its own record.

How do bank or agency staff sign in?

Staff sign-in shows the people on your staff list. Add bank and agency staff to the list in the admin page, or ask them to sign in as visitors so they are still on the on-site list.

Can other visitors see who is signed in?

The visitor screen on the kiosk lists who is currently on site, with their organisation and host, so people can sign out. Place the kiosk with that in mind and say so in your privacy notice.

Does it make clinical or evacuation decisions?

No. Mass Coms supports communications and records. Clinical, evacuation and patient-movement decisions stay with your incident team and local procedures.

Kiosk and setup

What tablet do I need for the visitor kiosk?

An Android tablet or touch panel running Android 5.1 or later, with the MassVisit kiosk app (listed as MassComs Visitor Kiosk on the device). We confirm the exact device with you before you buy.

Which label printer works with it?

A Brother QL-820NWB on the same Wi-Fi. The Android app finds it on the network, or you can enter its IP address in setup.

Does the kiosk start by itself after a power cut?

Yes, once the app is set as the device's Home app. On Android 10 and later that step is required for it to start on boot.

How do we change a kiosk's settings later?

Tap the top-left corner five times quickly and sign in with a Mass Coms admin account. There is no way into setup without an admin sign-in.

Security and GDPR

What personal data does the visitor kiosk record?

For visitors and contractors: name, plus optional phone, organisation and who they are visiting, car registration and reason for visit only if switched on, sign-in and sign-out times, and when they accepted your rules and privacy notice. For staff: name, email, optional photo and daily sign-in status.

Where is MassVisit data hosted?

In London, in the UK. Each organisation's records are kept apart in the database, and API keys are stored encrypted.

Is the visitor's email address stored?

No. An email address given at pre-registration is used to send the sign-in code and is not kept.

Who can see the visitor records?

People with a Mass Coms admin account for your organisation. Remove a user in Mass Coms and their access ends.

How long are visit records kept?

Agree retention with us during setup. There is no automatic deletion setting in the admin page today.

Martyn's Law

Does visitor management make us compliant with Martyn's Law?

No. It can support procedures such as evacuation, lockdown and communicating with people on site, but your organisation is responsible for assessing its duties. The Act does not require you to buy any software.

When do the Martyn's Law duties start?

When we checked in October 2026 the venue and event duties were not yet in force, and the SIA expected them to start in spring 2027 with the date to be confirmed. Check the Home Office and SIA for the current position.

Which tier applies to a school?

Qualifying early years, primary, secondary and further education premises stay in the standard tier at any size. Universities follow the usual thresholds.

Pricing

How much does MassVisit cost?

£499 per site per year on a three-year plan, and your first site is free in year one. One site comes to £998 over the three years. Each extra site is £499 a year from year one.

Is there a minimum contract?

Yes, 3 years. The first site is free for the first year.

Do extra sites get a free year?

No. The free first year is for one site on a three-year plan. Each extra site is £499 a year from year one.

What counts as a site?

A separate campus or building in a different place, for example a North Campus two miles from a South Campus. Buildings on the same campus count as one site.

Do I need a Mass Coms subscription?

No. MassVisit works on its own, with no Mass Coms subscription. If you also use the Mass Coms emergency platform, the people signed in feed its roll call.

Is hardware included?

No. Tablets, mounts, label printers and labels are extra. We help you choose the devices before you buy.
